Position: Administrative Assistant
Classification: Support Staff, non-exempt
Reports to: Sr. Associate Pastor
Work Week: Monday – Thursday 10:30-4:30PM

Administrative Assistant Role
Every church staff role is a spiritual role regardless of the specific job function. It is spiritual in “why” we do it, and it is spiritual in “how” we do it. As such, all Administrative Assistants are called to:
1. Walk with God.  (Micah 6:8; Gal. 5:16; Eph. 5:18-20) The church is not a secular institution where task results are all that matter. The church office is a spiritual environment         that is negatively affected by sin in either action or attitude.
2. Work as Unto the Lord. (Col. 3:23-24; Eccl. 9:9b-10a; Mt. 25:40) Whatever the task, no matter how mundane, we are called to perform it with all our heart as if we do it for Christ Himself.
3. Serve Leadership and the Church. (1 Pt. 4:10-11; Gal. 5:13-14) As Jesus said, “…I am among you as the One who serves” (Lk.22:27). Through serving leadership, we share in the fruit of them being able to devote themselves to “prayer and the ministry of the Word” (Acts 6:2).
4.Represent Christ. (2 Cor. 2:15; 1 Pt. 2:12) As employees of WPBC, we have the privilege and responsibility to represent Christ to believers as well as unbelievers. How we work and how we treat people is a reflection not just on us, but on the church and on Christ.
5.Maintain Healthy Relationships. (1 Cor. 13:1-8; Mt. 5:23-25; Eph. 4:1-3) One of the greatest hindrances to healthy ministry is not managing relationships in a healthy way. Regardless of how much we know, our ministry is constrained by our ability to relate. Relationships are the bridge we carry truth across and that on which the whole law depends.
6.Faithful Stewardship (1 Cor. 4:1-5; Mt. 25:14-30) What is required of stewards is that one be found trustworthy or faithful. The results of our faithfulness are ultimately up to God. We are accountable, however, for being faithful stewards of the responsibilities entrusted to us. In the parable of the talents, greater responsibility was given to those found faithful, and responsibility was taken from those who were not.

General Description
The primary responsibility of this role is to assist the pastor or pastors to whom he/she reports, assist the ministry area of responsibility, and assist the church staff in general in administrating the ministry environments and tasks that encourage spiritual growth, equip spiritual gifts, and engage spiritual service with the body of WPBC. Common duties also include receiving incoming telephone calls, for receiving guests and business- related visitors and directing them accordingly.

In addition to the essential job functions listed below, the Assistant should understand the role of Biblical hospitality and find spiritual fulfillment in meeting the needs of others. Those who call or visit the church do so for a variety of reasons (for ministry information, for prayer, for hope, for counsel, to voice a concern or complaint, etc.). The Assistant is the gatekeeper for receiving these inquiries and has the first opportunity to demonstrate Christ’s philosophy of responsibility as found in Matt 25:40 “…to the extent that you did it to one of these brothers of Mine, even the least of them, you did it unto Me.”

Essential Job Functions
1. Front Desk:
a. Answers telephone in a professional and courteous manner and directs calls accordingly
b. Handle multi-lined phone system for staff members
c. Greets office guests and directs them efficiently and effectively and has them sign-in
d. Facilitates reservations for ministries, when appropriate
e. Accepts package arrivals and retrieves incoming mail and distributes accordingly
f. Assists with mailings, special handouts, and other duties as needed
g. Performs other duties as assigned by Sr. Associate Pastor of Ministries

2. Discipleship/Assists Ministries Pastor in Equipping Process
a. Works as a liaison between Pastors and group leaders
b. Compiles information for each group from the leader
c. Orders materials for leaders and keeps track of monies collected

3. Administrative support for Ministries Pastor:
a. answers phone and makes appointments
b. order books as requested
d. communication with leaders regarding needs

4. Maintain accurate info in database, contacts, address and group information

5. Weekly –Groups rolls and records:
a. Make any updates that were turned in along with adding any new members
b. Monitor group attendance and send reminders as needed
c. Assist groups in updating web information as needed

6. Membership Update:
a. Maintain membership and baptism records
i. Yearly Association Report: first of October

7. Discover Membership Class:
a. Coordinate details of membership class
b. Submit names for approval
8. Keenagers:
a. Keep Shut-In list and information updated
b. Activity support as needed
